You'll need to download the following purchase letter as well as the following supporting documents from this website and submit them to your purchasing department. Here is a list of everything you will need:

  • Purchase letter – this includes general needed information about Edgeway

    Certificate of Liability Insurance (COI) – showing Hamilton County Schools as the certificate holder.

  • Hamilton County Vendor Information Form – completed and signed vendor profile.

  • Edgeway Vendor Info Guide – overview of our company details, payment methods, and insurance coverage.

  • Application for Registration of Assumed Name – verifying “Complete Service Rentals” as a registered assumed name of Edgeway Events.

  • W-9 Forms – current W-9s for Edgeway Events LLC and Complete Service Rentals.

  • General Service Rates Sheet – comprehensive explanation of travel, crew, operator, and concession charges (no dollar amounts included in this letter).

  • Hamilton County Schools Delivery Fee Sheet – school-by-school mileage calculations and delivery charges.

  • Full Inventory Price Sheet – our complete rental catalog with current standard and discounted rates.

These attachments provide the official numbers so that your team can simply replace the spreadsheets each year as prices change.

Insurance Summary

Edgeway Events maintains robust commercial coverage to protect Hamilton County Schools and its students:

  • Commercial General Liability for all on-site events

  • Automobile Liability for owned and hired vehicles

  • Hired Auto Physical Damage coverage

A current Certificate of Insurance is attached and updated annually.

Services Overview

  • Preferred Partner Program – Hamilton County Schools receives a fixed percentage discount on all rental items as part of our long-term partnership.

  • Travel & Delivery – Delivery fees are based on a flat service fee plus mileage from our Chattanooga warehouse. Separate rules apply when delivery and pickup occur on different days.

  • Setup, Cleanup, Loading & Unloading – Professional crews manage all installation and removal of equipment.

  • Operators & Event Staff – Trained personnel are available to operate inflatables, rides, or specialized attractions.

  • Concessions & Consumables – Supplies for popcorn, cotton candy, sno-cones, and other concessions are provided at cost.

Inventory & Pricing

  • The attached Full Inventory Price Sheet lists every rental item with current standard rates and Hamilton County Schools’ Preferred Partner discount.

  • Items labeled “Call for price” require a custom quote because final costs depend on event-specific factors such as:

    • Custom setup or staging requirements

    • Distance or special delivery conditions

    • Event duration beyond standard rental windows

    • Seasonal demand or specialized staffing
      These will be quoted individually each time to ensure accuracy.

Delivery Charges

  • The attached Delivery Fee Sheet provides one-way mileage and calculated delivery costs for each Hamilton County school.

  • Updating this sheet each year allows your team to keep all delivery pricing current without altering the language of the purchasing document.
